CURRENT OPERATING GUIDELINES
AS OF AUGUST 1, 2008 WE ARE NO LONGER ACCEPTING REQUEST SUMMARIES FOR OUR NOVEMBER 2008 MEETING. IF YOU WOULD LIKE TO APPLY FOR CONSIDERATION AT OUR MAY 2009 MEETING, PLEASE SUBMIT THE ONLINE REQUEST SUMMARY FORM BELOW ANYTIME BETWEEN NOVEMBER 17, 2008 AND JANUARY 31, 2009.
The Kettering Family Foundation (KFF) is a family grant-making organization that supports both Trustee-endorsed and unsolicited proposals that meet specific criteria. The Foundation holds annual meetings in May and November. Please review the information below in order to determine whether your organization and project are a good match for KFF grant making priorities.
TRUSTEE-ENDORSED PROPOSALS:
PRIORITY IS GIVEN TO THOSE PROPOSALS PERSONALLY ENDORSED BY ONE OR MORE TRUSTEES. ONCE TRUSTEE-ENDORSED REQUESTS HAVE BEEN REVIEWED AND DECIDED UPON, UNSOLICITED PROPOSALS WILL BE CONSIDERED IF THERE ARE REMAINING FUNDS TO BE DISTRIBUTED.
TYPICALLY, APPROXIMATELY 90% OF ALL APPROVED GRANTS ARE TRUSTEE-ENDORSED..
UNSOLICITED PROPOSALS:
Unsolicited requests will be reviewed only one time per KFF fiscal year (ending December 31) from the same requesting organization and/or program.
Follow-up or New Proposals:
Proposals from previously approved organizations or programs will not be considered if: 1) grant funds received have not fully been used to complete a designated purpose or 2) the approved grant shows no sign of being completed in the projected time period. The trustees reserve the right to approve a new grant if assurances can be received that the previous grant's objectives will be completed in a timely manner.

Requests for funding toward the following areas
ARE RARELY, if EVER, approved unless endorsed by a Trustee:
- Capital construction
- Foreign based or foreign purpose organizations
- Religious organizations for religious purposes
- Individual public elementary or secondary schools or public school districts
- Local chapters of national organizations
- Grants, loans, scholarships, fellowships, memberships
- Multi-year grants
- Travel expenses
- Community drives, event sponsorships
- Conduit organizations
APPLICATION PROCESS:
Applications via this Website and e-mailed correspondence are preferred. Beginning 9/01/07 all grant applications should be directed through the Kettering Family Foundation web site. Any other communications should go to the KFF e-mail address: info@ketteringfamilyfoundation.org
The Kettering Family Foundation (KFF) holds annual meetings in May and November. Applicants are required to complete a request summary form and submit it
prior to submitting a full proposal.
1. REQUEST SUMMARY: DUE BY JANUARY 31 or JULY 31

- Please access the request summary form below and submit it by the appropriate due dates. Applicant organizations will be notified within 10 business days of receipt as to the status of a request (via e-mail or hard
copy).
IF THERE IS SUFFICIENT TRUSTEE INTEREST an expanded proposal will be requested. The Foundation prefers that proposals be sent to "proposals@ketteringfamilyfoundation.org". If this it not possible a hard copy may be sent. Beginning December 1, 2008 proposals will only be accepted in electronic form.
2. FULL PROPOSAL: DUE PRIOR TO MARCH or SEPTEMBER 1

Applicant proposals should not exceed five pages and include the following elements:
- Description of Organization including mission, statement of organization's goals, and/or objectives and organization's history.
- Description of Need including brief statement of the issue to be addressed; description and number of constituency served; target population and how they will they benefit.
- Project Description: Summary of project goals, objectives and activities planned; whether project is a new or ongoing activity; timetable for implementation; other organizations, if any, participating in the project.
- Finance Plan: Description of how projected will be funded and the percent of budget requested from KFF and other sources participating in and/or funding project. Please also include long-term sources/strategies for funding at the end of the grant period.
- Project Evaluation: Description of expected results during the funding period; how success will be defined and measured; plan for use and/or dissemination of project results.
Attachments:
Please attach the following, if not already provided.
- A copy of the most current IRS Tax Determination 501 (c) (3) letter
- Most recent Form 990, including Schedule A or direct us to Guidestar, if it is available
- Program/Project budget (income & expenses)
- Board of Directors
- List of major contributors, including Board of Directors giving to the organization and/or program
- Most recent fiscal year-end financial statement (audited if available)
Additional Information and Communication:
- Additional information may be requested by KFF prior the next meeting date
- Notice of grant approval or denial will be sent by mail within 10 business days of the KFF's regularly scheduled meetings in May and November. Applicants who receive awards will be requested to sign and return a Grant Recipient Agreement (see blow) prior to funds being dispersed June 1 or December 1.

All approved grant recipients will be required to sign the following agreement prior to receiving their awards.
THE KETTERING FAMILY FOUNDATION GRANT RECIPIENT AGREEMENT
The Grant Recipient agrees that:
- 1. It understands and will comply with any conditions in the award letter, which accompanies this document.
- 2. Within one year of payment of the grant, it will submit a report on how the funds are spent and the progress in accomplishing the purposes of the grant.
- 3. It did not receive any assurances from anyone associated (any disqualified person) with The Kettering Family Foundation that a grant would be approved prior to the Trustees formally reviewing and approving any proposal submitted.
- 4. It will use the funds only for the designated purpose, will not use the funds for any purpose prohibited by law, and for charitable purposes only.
- 5. The funds will not be used:
- (a) To lobby or otherwise attempt to influence legislation.
- (b) To influence the outcome of any specific public election or participate or intervene in any political campaign on behalf of any candidate for public office or conduct, directly or indirectly, any voter registration drive.
- 6. It will repay to The Kettering Family Foundation any unused portion of the grant.
- 7. It is eligible under the law to receive funds from The Kettering Family Foundation, that it has exclusive control over the granted assets, and that its tax-exempt status, as disclosed to The Kettering Family Foundation, has not been revoked or altered. If the charitable tax-exempt status is changed or revoked by the IRS or the state attorney general, the Foundation will be notified immediately and the grant may be terminated.
- 8. In the event that the grant is not immediately spent for the project to be funded, it will hold such funds in a conservatively managed escrow account. Earnings on these funds will be applied to the project for which funds were granted. If the funds granted cannot be used for the purpose agreed upon, both principal and accumulated earnings shall be returned to The Kettering Family Foundation with proper accounting. Additionally, none of the above funds shall be used as collateral for any purpose, nor will they be spent for any other project.
